Job description
The main purpose of the Position
- Ensuring the general functioning of the pharmacy and supervising pharmacy supply chain processes in accordance with MSF standards, protocols, and procedures, in order to ensure its efficiency and operating availability.
Accountabilities
- Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to MSF protocols, national regulations and in cooperation with the logistics department.
- Coordinating the delivery, reception and recording of international and local orders, in close coordination with the logistics department, updating stock files and informing line managers on their status (shortfalls, over-stocking, expiry dates), in order to permanently ensure security stock levels and ensure efficient management of stock.
- Supervising orders of medical and drug material in order to ensure an efficient and appropriate consumption pattern under budget constraints.
- Supervising the supply of drugs to patients, according to medical prescriptions, informing them on consumption patterns and keeping conditions in order to ensure their therapeutic progression
- Ensuring efficient supply to other pharmacies managed/supported by MSF according to orders and stocks, and using cold chain when needed. Monitoring and analysing orders of depending pharmacies in order to avoid ruptures of stock or having expired drugs.
- Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance evaluation, development and internal/external communication) of the pharmaceutical team and the nursing staff, in order to ensure both the sizing and the amount of knowledge required and to improve their dispensing capabilities.
- Recording all items received and issued in computer (Isystock) and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalise the budget and to ensure availability.
- Assisting in training of nursing staff regarding dispensing of drugs and their side effects
MSF Section/Context Specific Accountabilities
Target Health Centers:
The intervention focuses on Adey Ababa and Jemu Health Centers, which serve 18,082 under-15 children. Key gaps include:
- Healthcare
- WASH
- Referrals: referral systems to Bachuma Primary Hospital.
Operational Strategies:
- Emergency Preparedness: Train health workers in outbreak response, develop EPREP plans, and strengthen surveillance.
- Healthcare Delivery: Provide free OPD services, immunization support, and ensure continuous medical supplies.
- WASH Interventions: Rehabilitate wells, improve water storage, build latrines, and train hygiene committees.
- Capacity Building: Strengthen local health systems and community resilience for sustainable impact.
Major tasks and responsibilities:
1. Medical Supplies and International Order Management
- Oversee storage conditions, stock levels, and distribution of medical supplies in compliance with MSF protocols
- Prepare and validate international medical orders (IMOs) in collaboration with HQ Pharmacist and Emergency Medical Program Manager
- Maintain emergency buffer stocks for program-critical items
- Monitor and report unusual consumption patterns to line managers
2. Pharmaceutical Storage and Regulatory Compliance
- Ensure proper storage conditions for all medical supplies according to MSF protocols (temperature, humidity, light exposure, segregation)
- Implement and monitor MSF’s Good Storage Practices (GSP) for all pharmaceutical items
- Maintain strict control of controlled substances per MSF guidelines and national narcotics regulations
- Guarantee full compliance with Ethiopian Food and Drug Administration (EFDA) storage and documentation requirements
- Conduct routine inspections of storage areas (pest control, cleanliness, stock organization)
- Manage documentation for all pharmaceutical products (batch tracking, expiry dates)
3. EPREP Stock Preparedness
- Ensure adequate emergency medical stocks are available in-country based on defined scenarios
- Collaborate with Medical Referent (PMR) to define EPREP stock needs and quantities
- Maintain pre-positioned emergency kits for rapid deployment
4. Pharmacy Team Supervision and Training
- Supervise daily operations of pharmacy staff (storekeepers, dispensers) in supported health centers
- Conduct on-the-job training on MSF dispensing protocols and stock management
- Monitor prescription practices and provide feedback to clinicians
- Validate competencies of pharmacy staff through regular audits
5. Interdepartmental Coordination for Medical Supply
- Collaborate with medical teams (PMR, NAM) to estimate medical supply needs
- Participate in rational prescription surveys with the PMR
- Work with Supply Team to ensure smooth medical supply flow from Addis Ababa to supported health centers
- Liaise with clinicians to align orders with actual consumption patterns
Job requirements
- Education: Bachelor’s Degree in Pharmacy.
- Experience: At Least Two years of certified experience as a pharmacy supervisor and good in using isystock .
- License: Renewed and up-to-date professional license.
- Knowledge: Essential computer literacy (word, excel, and internet)
- Competencies: Able to coach and supervise
- Language: Essential mission and local language
